Overview: The Door is an unparalleled model for youth development, offering a comprehensive range of integrated services within a single site for nearly 10,000 New York City youth each year. Our mission is to empower young adults to reach their full potential by providing comprehensive youth development services in a diverse and caring environment. At The Door, youth can access health care and education, mental health counseling and crisis assistance, legal assistance, college preparation services, career development, housing supports, arts, sports and recreational activities, and nutritious meals – all for free and under one roof. By providing participants with our suite of integrated services, we seek to provide any motivated young person with the tools, resources, and opportunities needed to successfully transition to adulthood. 

The goal of The Door’s Career and Education Services Department is to support young people in completing secondary education and successfully transitioning into post-secondary education and employment.  Programs within the Career and Education Services Department (CareerED) are designed to help young people, who are in school, out-of-school and out-of work, to assess, set, and obtain their educational and career goals. CareerED services specifically allow a young person to craft a personalized life plan defining the steps he/she will take to achieve those goals while developing the necessary skills for future life success and independence. The Coordinator, Career Administrative Services & Interim Executive Director will be responsible for providing administrative and operations support and coverage for the Career Services management team and the Interim Executive Director.   

 

Responsibilities: 

  • Handle distribution, tracking, and fiscal reconciliation of participant MetroCards, incentives and stipends for career services programs
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Process requests for payment and manage ordering, purchasing and invoicing activity
    Process agency-wide payment requests and reconciliation for the Interim Executive Director’s credit card
  • Assist with quality assurance maintenance of data systems, filing, and administration of contracts, and maintain contact lists
  • Generate memos, emails, reports to support programs, organizing meals, and scheduling meetings/appointments
  • Assist with maintaining senior managers’ and Interim Executive Director’s calendars
  • Assist the Interim Executive Director with agency-wide events
  • Be the point-person for documents requiring the Interim Executive Director’s signature
  • Handle and track all IT and Facilities service requests
  • Train new incoming Career Services staff on general Door administrative policies and procedures
  • Respond to internal and external questions and requests for information
  • Provide general support to visitors
  • Answer incoming calls and assume receptionist duties when needed
  • Participate in relevant departmental, agency, and external agency meetings, trainings, workshops and events
  • Handle any appropriate additional responsibilities and functions as assigned by Supervisor and/or Director
  • Manage corporate account partnerships and updates and distribute received mail within the department
  • Coordinate and contribute to Agency’s Door Day and Staff Professional Development Day as well as contribute to the production team for All Staff Door Meetings
  • Assigned tasks as requested by senior management

Qualifications and Requirements:

  • High School Diploma or HSE required with two years of experience of administrative work, Bachelor’s degree preferred
  • Minimum of 2 years in an administrative related position required
  • Knowledge of and ability to apply positive youth development principles to working with young people
  • Proficiency in Microsoft Office with expertise in Microsoft Word, Excel, Outlook and PowerPoint
  • Ability to analyze and revise operating practices to improve efficiency
  • Detail oriented and comfortable working in fast-paced office environment
  • Exceptional written and verbal communication skills
  • Superior organization skills and dedication to completing projects in a timely manner
  • Ability to handle sensitive and confidential information appropriately
  • Demonstrate an understanding of and practice the principles of positive youth development
  • Proficiency in Spanish, French, or Mandarin preferred

 

Hours: Full-Time Monday-Friday, occasional evenings may be required. 

Salary: Low 50s, plus generous benefits package
