Working in a shared service environment, the Administrative Assistant will work with The Door, Broome Street Academy and University Settlement, three independent 501c3 that share a CEO and administrative/back office functions.

The Human Resources department is responsible for the administration and management of company policies, benefits, personnel relations, recruiting, training and required reporting. The Administrative Assistant is instrumental in providing support to the department as well as to employees of our three agencies. We are in a fast-paced, dynamic environment with multiple moving parts. The Administrative Assistant will keep up with the pace, is flexible to the demands of the department, a master of organization and prioritization. This position is heavy on data management, compliance, job postings.

• Initiate and administer background checks
• Provide support on maintaining personnel files, compliance and audit preparation
• Handle employment verifications and income eligibility forms as requested
• Post job openings on agency websites, external career pages and Union job boards
• Review and maintain job posting requisitions forms and assist with maintaining the Applicant Tracking System
• Update and maintain compliance posters throughout the agencies
• Assist with filing EEO-1 reports
• Order and maintain department’s office supplies
• Prepare monthly requests for payments of invoices and credit card expenses

Must haves:
• You are organized and passionate about accuracy
• You are technologically savvy with fluency with Microsoft Office. A plus if you know ADP Workforce Now
• You have 1+ year of administrative support experience in a fast paced, dynamic environment
• Ability to exercise sound judgment when dealing with sensitive and confidential matters
• High Diploma required
• You have a strong commitment to advancing diversity, equity, and inclusion
