Overview: University Settlement (www.universitysettlement.org), The Door (www.door.org), and Broome Street Academy (www.broomestreetacademy.org) are affiliated New York City nonprofits that tackle the complex issues surrounding poverty for over 50,000 New Yorkers each year. The Human Resources department is responsible for the administration and management of company policies, benefits, personnel relations, recruiting, training and required reporting.

The Temporary Human Resources Assistant is the hub of virtually all of our HR business and is instrumental in providing support to the department as well as to employees of University Settlement, its affiliate, The Door, the city’s premier youth development agency, and Broome Street Academy Charter High School. If you like a fast-paced, dynamic environment with multiple moving parts then this is the place! The ideal candidate is someone who can keep up with the fast pace, is flexible to the demands of the department, and a master of organization and prioritization. This position is heavy on data, accuracy, filing and email management. You will have your hands full from 9am to 5pm! This is a 3-month position with the possibility to go longer.

Responsibilities:

  • Enter, update and maintain employee data in HRIS – ADP Workforce Now
  • Work closely with HR Coordinator to coordinate weekly new hire orientations – follow up with managers for pre-hire documents, invite new hires to orientation, prepare orientation packets, and maintain personnel files (hard copies and electronic)
  • Initiate and administer background checks (criminal, fingerprint, State Clearance) clearances as requested
  • Be the first point of contact for employees from three organizations and provide proactive customer service
  • Handle employment verifications and income eligibility forms as requested – route appropriate verification requests to third party verification system
  • Create photo ID cards for employees
  • Prepare monthly requests for payments of department invoices and credit card expenses
  • Provide backup support to HR Coordinator and Recruitment Specialist on compliance, audit preparation and job postings and reconciliations
  • Partner with HR Coordinator to update and maintain labor law posters throughout the agencies
  • Other responsibilities as requested

Qualifications:

  • Bachelor’s degree preferred
  • At least one-year experience working in a Human Resources office or similar role
  • Experience with ADP software is strongly preferred
  • At least one year of administrative support experience in a fast paced, dynamic environment
  • Must be detail oriented and possess excellent communication and organizational skills
  • Must be comfortable in a fast paced environment juggling multiple requests at a time
  • Must be professional and personable yet have the ability to exercise sound judgment when dealing with sensitive and confidential matters
  • Familiarity with MS Office programs, particularly Outlook, Excel and Word

Hours: 35 hours per week
Salary: $20-24 per hour
